Auraniums is seeking a diligent and proactive Front Desk Officer / Admin Officer to join our dynamic team. As the first point of contact for our company, you will play a pivotal role in creating a positive and welcoming environment for clients, visitors, and employees. This role combines front desk duties with administrative support, ensuring the smooth operation of our office.

Key Responsibilities:
  1. Front Desk Management:

    • Greet and welcome visitors and clients in a warm and professional manner.
    • Manage the reception area, ensuring it is tidy and presentable.
    • Answer, screen, and forward incoming phone calls, taking messages when necessary.
    • Provide basic and accurate information in-person and via phone/email.
  2. Administrative Support:

    • Assist in daily office operations and manage various administrative tasks.
    • Handle incoming and outgoing mail, courier services, and deliveries.
    • Maintain office supplies inventory and place orders when necessary.
    • Organize and schedule meetings and appointments.
    • Assist with travel arrangements and accommodations for staff.
  3. Document Management:

    • Prepare and update company documents, reports, and correspondence.
    • Ensure proper filing and record-keeping of documents.
    • Manage electronic and physical files, ensuring data is secure and easily accessible.
  4. Communication:

    • Serve as the point of contact between the office and external parties.
    • Assist in coordinating internal communications and disseminating information.
    • Facilitate communication between departments as needed.
  5. Support to HR and Finance:

    • Assist HR with the onboarding process for new employees.
    • Help manage employee attendance records and maintain employee files.
    • Provide basic support to the finance department, such as processing invoices and expense reports.
  6. Customer Service:

    • Address inquiries from clients and visitors in a professional and courteous manner.
    • Handle complaints and escalate issues to the appropriate department when necessary.
  7. Event Coordination:

    • Assist in organizing company events, meetings, and training sessions.
    • Coordinate catering and logistical arrangements for company events.
Qualifications:
  • High school diploma or equivalent; a degree in administration or a related field is a plus.
  • Proven experience as a Front Desk Officer, Receptionist, or Administrative Officer.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to maintain a professional demeanor under pressure.
  • High level of accuracy and attention to detail.
  • Customer service orientation and problem-solving skills.
  • Experience with office equipment (e.g., fax machines and printers).
