Auraniums is seeking a diligent and proactive Front Desk Officer / Admin Officer to join our dynamic team. As the first point of contact for our company, you will play a pivotal role in creating a positive and welcoming environment for clients, visitors, and employees. This role combines front desk duties with administrative support, ensuring the smooth operation of our office.
Key Responsibilities:-
Front Desk Management:
- Greet and welcome visitors and clients in a warm and professional manner.
- Manage the reception area, ensuring it is tidy and presentable.
- Answer, screen, and forward incoming phone calls, taking messages when necessary.
- Provide basic and accurate information in-person and via phone/email.

Administrative Support:
- Assist in daily office operations and manage various administrative tasks.
- Handle incoming and outgoing mail, courier services, and deliveries.
- Maintain office supplies inventory and place orders when necessary.
- Organize and schedule meetings and appointments.
- Assist with travel arrangements and accommodations for staff.

Document Management:
- Prepare and update company documents, reports, and correspondence.
- Ensure proper filing and record-keeping of documents.
- Manage electronic and physical files, ensuring data is secure and easily accessible.

Communication:
- Serve as the point of contact between the office and external parties.
- Assist in coordinating internal communications and disseminating information.
- Facilitate communication between departments as needed.

Support to HR and Finance:
- Assist HR with the onboarding process for new employees.
- Help manage employee attendance records and maintain employee files.
- Provide basic support to the finance department, such as processing invoices and expense reports.

Customer Service:
- Address inquiries from clients and visitors in a professional and courteous manner.
- Handle complaints and escalate issues to the appropriate department when necessary.

Event Coordination:
- Assist in organizing company events, meetings, and training sessions.
- Coordinate catering and logistical arrangements for company events.
- High school diploma or equivalent; a degree in administration or a related field is a plus.
- Proven experience as a Front Desk Officer, Receptionist, or Administrative Officer.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Ability to maintain a professional demeanor under pressure.
- High level of accuracy and attention to detail.
- Customer service orientation and problem-solving skills.
- Experience with office equipment (e.g., fax machines and printers).
